Secure Customer Portal for PPAP Package Delivery

Deliver PPAP packages to customers without email attachments and FTP folders.

Assemble PPAP packages from your quality documents, send the customer a secure link, and keep a record of when they acknowledge receipt. Pick a part and the completed documents for its active revision are linked to the package, such as process flows, PFMEAs, control plans, and inspection plans. Batch creation handles several parts in one pass. The customer opens the link without an account to see every PPAP element and its status, and the acknowledgment and each download are recorded with a timestamp.

Capabilities

What Customer Portal does

Package Assembly

Pick a part and the completed documents for its active revision are linked to the package, such as process flows, PFMEAs, control plans, and inspection plans. Add other generated documents by hand. The package stays a draft until you share it.

Batch Package Creation

Create packages for up to 50 parts at once. Bundle mode groups all parts into a single package, while separate mode creates one package per part. Both modes link each part’s completed documents, and nothing reaches the customer until you share it.

Secure Token-Based Sharing

When you share a package, your customer contact gets an email with a link built on a random token. No customer account is needed to open it. The link expires 72 hours after you share, only a hash of the token is stored, and sharing again issues a fresh link.

Customer Dashboard

Signed-in customers see every package shared with them, with part number, submission level, status, shared date, and acknowledgment date. Each package lists its PPAP elements and whether a document is on file, and downloads as one ZIP.

Acknowledgment Tracking

The customer clicks Acknowledge Receipt and the date and time are recorded on the package. Each ZIP download is written to your organization’s access log with the user, time, and IP address, so you have a record of delivery.

Submission-Level ZIP

The download opens with a cover sheet and Part Submission Warrant PDF, then the element documents in Design, Process, Capability, and Production folders. Only the elements your submission level requires are bundled, and a manifest lists each one with its status.

Who does what

Customer package management: the software prepares, an engineer decides.

Prepared by the software

  • Links the completed documents for a part’s active revision to the package when you pick the part
  • Bundles only the PPAP elements the chosen submission level requires, and notes in the manifest how many it left out
  • Builds the cover sheet and Part Submission Warrant PDF at the front of the package
  • Lists every bundled element with its status in a plain-text manifest

Decided by an engineer

  • Approves or rejects each document change the software proposes from a corrective action or an engineering change, before it is applied
  • Approves, rejects, or waives each PPAP element, and approves or rejects the submission
  • Approves NCR dispositions and signs off each corrective action
  • Signs control plans, PFMEAs, and other title-block documents by role, and enters the authorized signature on the warrant

Signed in the app: typed signature, name, date

Workflow

How it works

  1. 01Pick the customer and the parts for the submission
  2. 02Link documents automatically or add them by hand
  3. 03Set the submission level that decides which elements ship
  4. 04Share, and the customer gets a link that expires in 72 hours
  5. 05Customer reviews the elements and downloads the ZIP
  6. 06Customer acknowledges receipt and the time is recorded

  • APQP teams assembling submission-ready packages that bundle only the elements the submission level requires
  • Supplier quality teams giving customers one place to see package status and which elements have a document on file

Questions

Frequently asked questions

Do customers need an account to access packages?
Not to open the link. The emailed link shows the package, its PPAP elements, and their status with no login. Downloading the ZIP and acknowledging receipt happen in the customer portal, which uses a customer login that your team sets up by inviting the contact.
How secure is the customer portal?
Each share creates a link built on a random token, and only a hash of that token is stored. Links expire 72 hours after you share. A signed-in customer only sees packages shared with their own company, and each ZIP download is logged with the user, time, and IP address.
What document formats are supported in packages?
Generated documents, such as control plans, PFMEAs, process flows, and inspection plans, are rendered to PDF inside the ZIP. Files uploaded to an element of the linked PPAP request, such as a drawing, a material certification, or a test report, go in as they were uploaded. The ZIP opens with a cover sheet and Part Submission Warrant PDF and includes a manifest.
How does batch package creation work?
Batch mode creates packages for up to 50 parts in one pass. Bundle mode groups all selected parts and their documents into one package for customers who want a consolidated submission. Separate mode creates one package per part, and each is shared with its own secure link, which suits customers who track approvals per part number.
Can I track whether the customer has reviewed the package?
Yes, at the package level. The package records when you shared it and when the customer acknowledged receipt, and each ZIP download is written to your organization’s access log with the user, time, and IP address. It does not record which individual documents the customer opened.
